TRAVELING WITH PHI SIG

PHI SIGMA SIGMA HOUSE AT RUTGERS UNIVERSITY

The Phi Sigma Sigma house at Rutgers University is located at 66 College Ave, New Brunswick, New Jersey. This will serve as the location for Phi Sigma Sigma's summer programs including the Emerging Leader Program and MRC Institutes. The house sleeps 45 sisters and features a variety of different room configurations. You will be staying in double or triple rooms with sisters from across the country. On-site parking is available at the designated parking lot.

All attendees are expected to be on-site at the Phi Sigma Sigma house for the duration of their program. Off-site excursions, extensions or alternative travel are not permitted unless pre-approved in writing from Phi Sigma Sigma Headquarters staff.

Attire for the program is causal including jeans, shorts, tops, dresses, jumpsuits, athleisure, etc. One evening we will be having dinner at a local restaurant, so please bring a summer casual outfit such as a sundress or shorts/jeans and a top. Additionally, the house is air conditioned, so please bring a sweatshirt.

If you are driving, please bring your own linens including sheets, pillowcase and towels. Beds are an XL twin so XL twin, queen or king size sheets will fit. Complimentary standard linens, towel and pillow will be provided for attendees traveling by plane or train.

 

NOTE - checked bags will not be covered or reimbursed, so please pack accordingly.

INCLUDED EXPENSES

The following â€‹expenses are included as part of your participation in the program:

  • Airfare, train ticket or gas reimbursement* per your assigned mode of transportation. For gas reimbursement, be sure to follow the process outlined here to guarantee reimbursement. 

  • Accommodation at the Phi Sigma Sigma house at Rutgers University

  • All meals during the program

  • Parking at the designated parking lot for the duration of the program

REIMBURSED BY THE CHAPTER​

The following expenses should be reimbursed by your chapter. You will need to pay for them upfront and then submit the receipts and appropriate documentation to your chapter for reimbursement within 30 days. Failure to submit appropriate documentation or submit within the timeline may forfeit the reimbursement.

  • Transportation to/from or parking at your departure airport or train station

  • Meals during your travel

PERSONAL EXPENSES

The following expenses are not eligible for reimbursement:

  • Personal items needed for the program such as clothing, supplies, etc. 

  • Additional meals, snacks or coffee during the program, outside of what is provided by the program.

  • Fees associated with checked luggage.

A NOTE ABOUT ACCOUNTABILITY

Phi Sigma Sigma is proud to invest in the development of members, leaders and volunteers that contribute to the success and health of their chapters. Being selected to attend an in-person meeting is a privilege. Your commitment to arriving, participating and respecting the policies of the occasion is required. Failure to attend or comply after registering or confirming your attendance may result in fees, fines, assessments or relevant disciplinary action for you or your chapter.

Accountability
TRAVEL: FLYING
  • You received your flight confirmation number via email.

  • If you are flying, you will be able to check-in to your flight 24 hours in advance.

  • Please arrive to the airport early. It is recommended that you arrive at least two hours before your flight.

  • Please note, checked bags are not included and will not be reimbursed so please pack accordingly. If you choose to check a bag, these fees will not be reimbursed by Phi Sigma Sigma or your chapter.

DELAYED, CANCELLED OR RESCHEDULED FLIGHTS

If your flight is delayed or cancelled, please contact the Phi Sigma Sigma Headquarters staff member who has been designated as the day-of-travel contact. You can find this information in your email. In the case that your flight needs to be rebooked or rescheduled, do not do this on your own. As the purchaser of the ticket, Phi Sigma Sigma staff must be involved in any changes to the booking.

 

Rebooking or repurchasing tickets on your own may result in additional fees which you would be responsible for. We're here to help and will make sure you get where you're going! Please keep us in the loop so we can assist you.

ARRIVING IN NEWARK

  • View an interactive map of Newark airport, here.

  • Once you arrive in Newark, follow the signs to baggage claim and ground transportation. 

  • If other attendees are arriving around the same time as you, you will also be provided with their contact information to coordinate transportation as a group. 

  • Head outside from baggage claim and follow signs for Ground Transportation, Ride App Pick Up and/or Passenger Pick-Up. This is where all Uber driver-partners at Newark International Airport meet travelers for pickup.

    • Terminal A - Ride App Pick Up Zone 9 & 10

    • Terminal B - Passenger Pick Up Zones 2, 3, and 4

    • Terminal C - Passenger Pick Up Zones 4, 5, and 6

  • Follow the Uber Code directions to redeem the code and request your Uber to the Phi Sigma Sigma house at Rutgers University.

Flying
REAL ID: KNOW BEFORE YOU GO

​REAL ID CARD INFORMATION FOR AIR TRAVEL

Effective May 2025, all domestic air travelers will be required to present "REAL ID” identifications, typically a state-issued ID that has star marking in the upper portion of the card signifying that the ID has met the "minimum security standards".

 

Chances are, many of you are already in possession of a state-issued ID that has the REAL ID seal. Many states began handing out REAL ID-compliant driver’s licenses to anyone who got their license for the first time from around 2012-2013 and later. While every state’s requirements are different, most require REAL ID applicants to present documents more above and beyond what is required for a general driver’s license.

​

ALTERNATIVES TO THE REAL ID CARDS

In the event that you do not have a REAL ID and cannot obtain one prior to your scheduled air travel, there are some alternatives to a REAL ID available.

 

This list includes but is not limited to a DHS Trusted Traveler Card, Enhanced Driver’s License, U.S. Department of Defense ID or a U.S. Passport or passport card, all of which can be used to prove identity while flying in the same way a REAL ID can. However, these documents are often harder to procure than REAL ID cards and can sometimes cost more money.

  • You received your train number and ticket via email.

  • Please arrive to the station early. It is recommended that you arrive at least 30 minutes before your train's scheduled departure time.

  • Have your ticket downloaded and ready to scan.

  • Depart the train at New Brunswick train station. From there, the Phi Sigma Sigma house is only a 6 minute walk (0.3 mile).

  • Exit the station on the north side (across the tracks from the station building and Dunkin Donuts) onto Wall Street.

  • Walk along the pedestrian path towards Barnes & Nobles (on your right) to Somerset Street.

  • Make a left onto Somerset Street and then cross the street and make a right onto College Avenue.

  • The Phi Sig house is two blocks down on your left.

  • Please knock on the side door of the house and a staff member will greet you.

If you are scheduled to arrive at a train station other than New Brunswick, follow the Uber Code directions to redeem the code and request your Uber to the Phi Sigma Sigma house at Rutgers University.​

TRAVEL: DRIVING

​REIMBURSEMENT

In order to be reimbursed for gas, you must follow the specific directions outlined below and submit the T&E form by the deadline. You must fill up with gas prior to starting your journey and keep that receipt as proof. You will then fill up again at the end of the trip to determine the amount of gas for reimbursement. 

 

  1. Before starting your trip to New Brunswick, fill up your gas tank completely and keep that receipt. You will not be reimbursed for this amount - this is proof you started your journey with a full tank).

  2. When you get back home after the program, completely fill up your gas tank again and keep that receipt. Yyou will be reimbursed for this amount.

  3. If you pass through tolls, keep the receipt or log into your E-ZPass account and take a screenshot of your transaction history.

  4. Fill out the T&E form provided via email. 

  5. Submit the following items to the designated email address by the deadline. 

    • Completed T&E form 

    • Receipt from filling your gas tank before you left to go to New Brunswick 

    •  Receipt from filling your gas tank upon your return home after the program 

    • Receipt for tolls

Driving
PARKING

Phi Sigma Sigma's parking lot is located behind the Phi Sigma Sigma house Enter the lot at 21 Union St, New Brunswick, NJ 08901.​

When you arrive at 21 Union Street, drive up the driveway with the Delta Phi house to your right.

At the back of the house you'll drive by a fence and sign indicating parking is reserved for Phi Sigma Sigma. Please park in that parking lot.

You can then access the Phi Sigma Sigma house through the gate and down the wooden stairs at the far side of the lot. Knock on the side door of the house and a staff member will greet you. 

UBER CODES
  • You will receive the Uber Code link via email a few days prior to your scheduled program. â€‹

  • Make sure you have the Uber app downloaded and updated. 

  • You will need a valid personal card attached to your Uber account in order to use the voucher and request the ride.

  • If other attendees are arriving around the same time as you, you will also be provided with their contact information to coordinate transportation as a group.

  • Once you arrive at the house, walk up the driveway and knock on the side door of the house. A staff member will greet you.

APPLYING THE VOUCHER

When you use the link to launch the Uber app it will apply the voucher to your next ride. Uber will have you confirm your personal card is valid, however it will not charge your card unless the ride cost is over $150.00 or the Rutgers Phi Sig house is not the destination or origin of the trip. 

​

  1. Open the link provided in the email and click "Accept voucher."

  2. You should then see a confirmation that the voucher was added to your account.

  3. Set the destination to 66 College Avenue, New Brunswick, NJ.

  4. Before booking the Uber, make sure the voucher is turned on. You should see it on the bottom of the screen and if you open "Payment Options," scroll down to view vouchers and make sure it is turned on.

MEALS

The registration fee for training includes all meals during the program. Meals will be at the sorority house and we will cater to all dietary accommodations.

 

There will be snacks provided and there are multiple water coolers throughout the house. There is also a Starbucks less than a three-minute walk from the house if you want to buy yourself coffee for a little pick me up!
